WhatsApp, inbox and lead management for digital marketing agencies: every client in its own workspace, on one bill, from one login

How an agency runs WhatsApp, Instagram DMs, email and ads for many clients: a workspace per client, one invoice and one shared credit pool, the Meta login connected once with each number and ad account assigned to its client, and access granted per person.

In short

A digital-marketing agency running WhatsApp, Instagram DMs, email and ads for its clients needs three things a single-business tool does not give it: a separate workspace per client so nothing leaks between them, one bill and one credit pool across all of them, and its Meta login connected once with each number, Page and ad account handed to the client that uses it. In Linkubit that is an agency account: each client is a workspace on Starter, Pro or Scale, the account pays the sum on one invoice, and the agency's people see a client only when someone gives them access to it.

What an agency actually does for a client

The work has moved. Five years ago an agency ran the ads and handed over a spreadsheet of form fills. Now the ad opens a WhatsApp chat or an Instagram DM, and the client's question is not "how many leads" but "how many of them did anybody answer, and how many bought". An agency that only runs the ads is judged on a number it does not control. An agency that runs the ads, the first reply, the follow-up and the report is judged on revenue — and can prove it.

That means the agency is now operating the client's conversations, not just their campaigns. Which means the tool has to be built for someone operating many businesses at once.

Why a single-business tool breaks at the third client

  • Separate logins per client. Ten clients is ten passwords, ten subscriptions, ten cards on file and ten invoices to reconcile at month end.
  • Ten separate credit balances. One client runs out on a Saturday while another has hundreds unused. Nothing moves between them.
  • The Meta login problem. The agency's Facebook login can see every client's Page and ad account. Connect it inside one client's tool and that client's tool can, too. Connect it ten times and nobody can say which account is live where.
  • People. The account manager for three clients needs those three and nothing else. The founder needs all of them. The freelancer on one campaign needs one, for a month.
  • Leaving. A client who leaves should leave with their history, and the agency should keep its own login.

How an agency account is shaped

LayerWhat it holdsWho works in it

A workspace per clientThat client's inbox, contacts, AI salesperson, catalogue, campaigns, pipeline and reportsWhoever has been given access to that one client, with one of its roles

Nothing in a workspace knows it is under an account. A number assigned from the account behaves exactly like one the client connected themselves, and a client's data never sits next to another client's. The account is administration; the work happens in the workspaces.

One bill, one pool

Each client workspace is on an ordinary plan — Starter, Pro or Scale — and the account pays the sum on one subscription and one invoice. There is no separate agency price to negotiate and nothing hidden in it: a client on Pro costs the account exactly what Pro costs anybody. Six clients, four on Starter and two on Pro, is ₹3,994 a month, and the account's shared pool holds 1,000 credits a month — every client's allowance added together. A busy client can draw more than its own plan's share; a quiet one draws less; a monthly cap per client stops one of them spending everybody's. The billing guide has the details.

Connect once, assign per client

The agency connects its Meta login to the account once — WhatsApp Business Accounts through Embedded Signup, Facebook Pages with their Instagram accounts, and Meta ad accounts — and assigns each asset to exactly one client workspace. That client's inbox receives that number's messages, its campaigns run on that ad account, and no other workspace can see either. Move a number to a different workspace and its history stays where it was. The workspace management guide walks through it.

People see what they were given

Account roles — Owner, Billing, Manager, Viewer — decide what someone can do in the console: create workspaces, assign assets, set caps, see the invoice. None of them opens a client's inbox. Seeing inside a workspace is a separate grant, per person, with one of that workspace's own roles. That is deliberate: an account manager's access is a decision somebody made about that client, not a side effect of having a role at the agency.

What the agency can run for every client

  • The inbox. WhatsApp, email, Instagram DM and Messenger (the last two from Pro) on one customer record, with the AI salesperson answering in the first minute and a person one click away.
  • The ads. Click-to-WhatsApp, lead-form, traffic and engagement campaigns on Meta, and Search, Performance Max and Demand Gen on Google, built from the workspace and created paused.
  • The follow-up. WhatsApp and email campaigns to people who opted in, stopped for anyone who replies.
  • The report the client actually wants. Cost per qualified lead and per won deal by campaign, because every lead carries the ad it came from and qualified leads and won deals are sent back to Meta and Google.
  • The client's CRM. If the client lives in monday.com or Zoho CRM, leads and deals land there — see CRM sync.

Signing up as an agency

  1. Sign up and choose An agency when asked who Linkubit is for. Choose the currency your clients pay in; it is fixed for the account.
  2. You land on the account dashboard with a 14-day trial on the account. Add your first client as a workspace and pick its plan.
  3. Connect your Meta login once and assign that client's number, Page and ad account to its workspace.
  4. Give the account manager access to that workspace with one of its roles.
  5. Onboard the client: the AI salesperson is configured from the client's website and what you tell it, the catalogue loaded, the qualifying questions set.
  6. Repeat for the next client. Subscribe the account before the trial ends; an agency's workspaces pause until it does.

Already have a client on Linkubit?

A workspace the client set up themselves can join the agency's account by invitation and move onto the agency's bill. Its own subscription ends that day with the unused time credited, so nobody pays twice.

Is there a special agency plan or reseller price?

No. Each client workspace is on Starter, Pro or Scale at the normal price, and the account pays the sum on one invoice. What the agency gets is the structure — one bill, one credit pool, shared logins, per-client access — not a different price list.

Can I white-label Linkubit for my clients?

Every paid plan removes Linkubit's branding from what customers see. The dashboard itself stays Linkubit; your clients' customers see your client's number, Page and email address, never ours.

Can two clients share one WhatsApp number?

No. A number, Page, Instagram account or ad account is assigned to one workspace at a time, because the number is how an incoming message finds the right client's inbox.

What happens to a client's data when they leave?

Detach the workspace and it keeps everything — contacts, conversations, deals — and lands on the Free plan, from where the client can buy their own. The assets go back to the account, with the history left in the client's workspace.
