WhatsApp appointment booking and reminders for clinics in India
A clinic's WhatsApp number is a queue nobody is watching between patients. Linkubit answers appointment enquiries for clinics, dental practices, diagnostic centres and hospitals within a minute, offers slots, confirms and reminds so that fewer people no-show, sends treatment estimates from your price list, and collects balances — and hands anything clinical to a person before it answers.
Linkubit answers a clinic's WhatsApp within a minute, agrees appointment times inside the hours you set, sends confirmations and reminders that ask for a YES, quotes treatment estimates only from your price list, tells patients when a report is ready, and collects balances in the chat. It gives no medical advice: a symptom or a question about a condition is handed to a person before the assistant replies.
Qualifies on
- Doctor, department or treatment wanted
- New or returning patient
- Preferred days and times
- Insurance or cash, where it matters
- Whether this is urgent — and if so, a person, now
- Referral or report in hand
None of this is hardcoded. It is a schema you edit, which is why a completely different business runs on the same system.
Some questions are not for an assistant
A symptom goes straight to a person
Anything that reads as a medical question — pain, a dose, a result — hands the thread to the front desk before a reply exists. The assistant books; it never advises.
- Escalation happens before a reply, not after a wrong one
- The desk sees the whole thread
Rule matched: hazardous cargo → escalate before answering

Estimates from the price list
A treatment cost is a number from your card
The estimate after a consultation is the price list's figure for that treatment, with the number of visits and a validity date. Nothing typed by a model.
- A treatment not on the list is not priced
- The deal opens at the list price

Fewer no-shows
Every confirmation and reminder asks for a YES or a RESCHEDULE, so an empty slot is known the day before rather than at the appointment time.
Reports on request, never in the message
"Your report is ready" goes out; the report itself is sent only after the patient replies, in a thread they opened.
From enquiry to follow-up visit, on WhatsApp
What a patient's WhatsApp looks like when the assistant handles booking, reminders, estimates and balances, and the front desk and the doctor handle everything clinical.
The enquiry lands, and is answered in under a minute
From Google Maps, a hoarding, a referral or the website. The assistant replies with the coordinator's name and two questions — which doctor or treatment, and which days suit — and offers the next open slots.
Anything clinical goes to a person first
A symptom, a question about a medicine, a result: the rule hands the thread to the front desk before the assistant replies. The desk answers with the thread's full context.
The appointment, confirmed and reminded
The confirmation carries the doctor, the time, the floor and what to bring, and asks for a YES. The reminders the day before and two hours ahead ask again, so an empty slot becomes a reschedule.
The estimate, from the price list
After the consultation, when the patient asks, the assistant sends the estimate for the treatment discussed — the list price, the number of visits, a breakdown attached and a validity date — and offers to book the first sitting.
Reports, balances, the next sitting
"Your report is ready" goes out when the lab marks it; the file follows only on reply. A balance after a visit is requested in the chat at the list amount. The next sitting is booked in the same thread.
The recall
Six months after a cleaning, a year after a check-up: one message asking whether to book, only to patients who opted in, with a STOP line.
The templates a clinic sends
Seven WhatsApp message templates for clinics — enquiry received, appointment confirmed, reminder, estimate, report ready, balance due and a check-up recall. Each is written the way Meta's review reads it, and none of them says anything about a condition.
| Template | Category | When it goes out |
|---|---|---|
| Enquiry received | Utility | A patient asks for an appointment or a price. |
| Appointment confirmed | Utility | A slot is booked. |
| Reminder | Utility | The day before, and two hours ahead. |
| Estimate | Utility | After a consultation, when the patient asked for the cost. |
| Report ready | Utility | A lab or imaging report is available. |
| Balance due | Utility | A balance is outstanding after a visit. |
| Check-up due | Marketing | A recall interval has passed since the last visit. |
Each template opens on its own page with the variables, a filled example and what Meta’s review objects to. Utility and authentication templates cost ₹0.115 a message in India, marketing ₹0.8631 — the pricing guide has the rest.
Questions clinics ask
Will the AI give medical advice?
No. A rule hands any message that reads as a clinical question — a symptom, a medicine, a result — to a person before the assistant replies. It books, reminds, quotes from the price list and collects balances. The doctor and the front desk answer everything else.
Is patient data safe?
Each clinic's data is isolated from every other customer's at the database level, stored in Mumbai, and erased on request. Reports are never sent in a message body; they go only when the patient replies asking for them. The security page has the detail.
Does it integrate with my clinic software?
There is no connector to a hospital management system today. The assistant proposes times inside the hours you set, writes the agreed time onto the patient's record, and puts the appointment on the front desk's task list and the pipeline; the front desk confirms it against your own book.
Can it collect payments?
A balance after a visit or a booking deposit is requested in the chat — UPI or card on WhatsApp where your number has a payment configuration, a Razorpay link otherwise — always at your list price and paid into your own account.
