WhatsApp automation for coaching institutes, schools and edtech

Admission season is a thousand WhatsApp messages and a counsellor who can answer forty. Linkubit answers coaching institutes', schools' and edtech companies' enquiries within a minute, asks which class and exam and mode, sends the fee card from your price list, books the demo class, collects the admission documents and reminds every instalment — in English or Hindi.

In short

Linkubit answers a course enquiry on WhatsApp within a minute, captures class, exam, mode, batch preference and budget, sends the fee structure only from your fee card, books a demo, and follows the family through admission documents and instalments. A counsellor sees a lead with the answers already filled in.

Qualifies on

  • Class or year, and the exam — JEE, NEET, CAT, boards, a skill
  • Online or classroom, and which centre
  • Batch timing that works — weekday evenings, weekends
  • Budget, and whether instalments matter
  • Who is deciding — student, parent, both
  • When they want to start

None of this is hardcoded. It is a schema you edit, which is why a completely different business runs on the same system.

The fee card is the only price

The assistant quotes fees from your card, never from memory

A fee typed into a chat is a fee somebody has to honour. The assistant sends the figure on your fee card for that course and mode, and nothing else.

  • A course with no fee on the card is not quoted
  • Instalment terms come from the same card

A person handles the scholarship conversation

Discounts and scholarships go to a counsellor

The moment a family asks for a concession, the rule hands the thread to a person with everything captured so far. An assistant that negotiates fees is one that gives them away.

  • Handover is explicit, in both directions
  • The counsellor sees the whole thread and every field

Demo classes that actually happen

The confirmation asks for a YES; the reminder the day before asks again. A demo nobody confirmed is a room and a teacher booked for nobody.

Parents in Hindi, students in English

The assistant answers in the language each message arrives in, on the same thread.

From enquiry to admission, on WhatsApp

What a course enquiry looks like when the assistant handles the first minute, the fee card, the demo and the paperwork, and a counsellor handles the conversation about which course is right.

  1. The enquiry lands, and is answered in under a minute

From an ad, a hoarding QR, the website or a referral. The assistant replies with the counsellor's name and two questions — which class or exam, and online or classroom. That decides which fee card and which batches apply.

  2. It qualifies before it quotes

Class, exam, mode, batch timing, budget, who is deciding, start date. Written onto the lead as the family answers. The fee card for that course and mode goes out only once course and mode are known.

  3. Fees and batches, from the card

The fee, the duration, the instalment terms and the batch timings in the text, the fee card attached, and one question: want a free demo class?

  4. The demo, booked and reminded

The assistant proposes slots from the timetable and sends the confirmation with the teacher's name and the room or join link. The reminder the day before asks for a YES.

  5. The counsellor closes

A family that asks about a scholarship, a sibling discount or a different course is handed to a counsellor with every field filled and the thread attached. The assistant stays quiet until it is handed back.

  6. Admission papers and the first fee

One message lists every document with a date and what the date means — the seat is held until then. The papers land in the thread. The first instalment is requested in the chat at the fee-card price.

  7. Instalments, timetable changes, the next batch

Every instalment reminded five days out with a payment link. A rescheduled class goes out to the batch when the timetable changes. A lead who did not join is told, once, when a new batch for their course opens.

The templates an institute sends

Nine WhatsApp message templates for education — enquiry received, fees and batches, demo confirmed, admission documents, fee due, class rescheduled, a new batch and a check-in. Each is written the way Meta's review reads it.

The templates an institute sends
TemplateCategoryWhen it goes out
Enquiry receivedUtilityA student or parent enquires about a course.
Fees and batchesUtilityCourse, class and mode are known.
Demo confirmedUtilityA demo or counselling slot is booked.
Admission documentsUtilityThe family has decided and the admission form needs papers.
Fee dueUtilityAn instalment is due in five days.
Class rescheduledUtilityA class moves or is cancelled.
New batchMarketingA batch opens for a course a lead enquired about but did not join.
Check-inMarketingThirty days after the last exchange, once.

Each template opens on its own page with the variables, a filled example and what Meta’s review objects to. Utility and authentication templates cost ₹0.115 a message in India, marketing ₹0.8631 — the pricing guide has the rest.

Questions institutes ask

Can the AI counsel a student on which course to take?

It asks the questions a counsellor would ask first and writes the answers down. The conversation about which course is right is handed to a person, with the answers already captured, because that is a judgement a family expects a person to make.

Does it work for online courses and edtech?

Yes. Mode is a field; an online course has a fee card and a join link instead of a centre and a room. The sequence is the same.

How are fee instalments collected?

A payment request in the chat — UPI or card on WhatsApp where your number has a payment configuration, a Razorpay link otherwise — always at the fee-card amount, paid into your own account. A paid instalment is recorded on the student's record.

Will it message parents during exam season without permission?

Marketing messages — a new batch, a check-in — go only to families who opted in, once, with a STOP line. Utility messages about a course the student is enrolled in — a rescheduled class, a fee due — are not marketing and need no separate consent.
