WhatsApp Business app vs the WhatsApp Business API: which one a growing Indian business actually needs
The free app and the API are different products. What each one can and cannot do — team inbox, automation, templates, numbers, the catalogue — what the API costs, and the four moments a business outgrows the app.
The WhatsApp Business app is a free phone app for one person answering one number. The WhatsApp Business API is the same number answered by software — a team, automation, templates to thousands, and a record of every conversation — reached through a product like Linkubit, with Meta charging per message and the product charging for the software. A business outgrows the app the day a second person needs to answer, a message needs to go to 500 customers, or nobody can say which enquiries became sales.

Two different products with one name
Meta sells WhatsApp to businesses twice. The WhatsApp Business app is the green icon on a phone: free, installed in a minute, built for one person running one number. The WhatsApp Business Platform — everyone calls it the API — is the same green tick, the same number, answered by software instead of a thumb. Nobody “uses” the API directly; a business reaches it through a product that speaks it, the way nobody uses SMTP but everyone uses email.
The confusion is that both are called WhatsApp Business, and Meta’s own AI now lives in the app too. So the question a growing business actually has is not “app or API” but “when does the app stop being enough”.
What the app does, and does well
- Business profile, catalogue, quick replies, labels, away messages.
- Broadcast lists — up to 256 contacts who have saved your number.
- Up to four linked devices on one number, with no record of who answered.
- Meta’s Business AI, free, answering from the catalogue and documents you upload.
- Payments in India, through UPI.
For a shop with one person answering and a few hundred customers, that is most of what selling on WhatsApp needs. The app is not the beginner’s version; for a lot of businesses it is the right version.

The row that matters is records. The app keeps chats; the API, through a product, keeps facts — who asked for what, when, who answered, and what happened next. That is what turns a phone full of conversations into a pipeline.
What each costs
The app is free, and Meta’s AI in it is free. The API has two prices, from two companies:
- Meta, per message. ₹0.8631 for a marketing template, ₹0.115 for utility and authentication, and from 1 October 2026 ₹0.115 for each reply you send inside a customer’s 24-hour window — plus 18% GST. Four moments a business outgrows the app
- A second person needs to answer. Linked devices share a chat, not a queue. Two people reply to the same customer, or neither does because each thinks the other did. This is the day most businesses move.
- A message needs to reach 500 people. Broadcast lists stop at 256 and reach only those who saved your number. A template campaign reaches every consented contact, and the ones who reply become conversations with an owner.
- You cannot answer “how many enquiries became sales last month”. The app has no record beyond the chat. If the answer lives in someone’s memory or a spreadsheet, the phone has become the bottleneck.
- Enquiries arrive while nobody is looking. Meta’s free AI answers them; it does not qualify them, write them down, score them, or hand a hot one to a person with the context. The Business Agent guide is about that gap.
The honest counter-case
One person, one number, customers who mostly buy on the first conversation, no ads — stay on the app. The API is not a status symbol. It is what you need when the chat is no longer the whole business.
Moving without losing the number
A number registered to the app can move to the API and keep its identity: same digits, same business name, same verified badge once re-verified. What does not move is chat history — the API starts fresh, and the old chats stay in the app’s backup. Three things to do in order:
- Back up the app’s chats, and export anything you will need later.
- Connect the number through Meta’s Embedded Signup inside the product — a pop-up, a few minutes, no developer. Linkubit’s connect flow is this.
- Tell the number’s regular customers nothing; they see the same number. Tell the team everything: who owns which conversation from today.
A number can also go the other way, back to the app, though Meta makes you wait. Move when the second person is already answering, not before.

Is the WhatsApp Business API free?
Meta charges no fee for access to the API itself. What it charges is per message: ₹0.8631 for a marketing template, ₹0.115 for utility and authentication, and from 1 October 2026 ₹0.115 for each reply inside the 24-hour window. Most businesses reach the API through a software product, which charges for the software.
Can I use the WhatsApp Business app and the API on the same number?
No. A phone number is registered to one or the other. Moving a number to the API means it leaves the app — the chats stay on the phone, the number starts answering from the API. Moving back is possible but takes time, so move when you are sure.
Do I need a developer to use the API?

Does the free app have a team inbox?

They stay on the phone, in the app's own backup. The API does not import history; conversations start fresh from the day the number moves. Customers see the same number and the same business name.
