Why connect the two

Zoho CRM is where many Indian sales teams keep their pipeline, and WhatsApp is where their customers actually talk. Without a connection, the enquiry arrives on a phone, somebody types it into Zoho later (or doesn't), the qualifying answers stay in the chat, and the deal that closes in Zoho never tells the ad that brought it in. With the connection, the conversation writes the Zoho record as it happens and Zoho's answer comes back.

What lands in Zoho

  • Leads or Contacts — name split into First Name and Last Name, phone, email, source, lifecycle stage, qualification, score, and any of your own fields — when a lead is created, qualified or assigned.
  • Deals — name, value, currency, pipeline stage, expected close date, lost reason — when a deal moves, is won or is lost.
  • Accounts and custom modules — any module you map, including ones your Zoho admin built.
  • Notes on the record when a lead is qualified, handed to a person, asked to pay and paid, carrying the conversation summary and a link to the chat.
  • Payment fields — status, amount, link, paid date — when a payment is requested, captured or fails.

What comes back

When someone edits a mapped field in Zoho, Linkubit is notified, reads the record and brings the new value onto the contact's own fields, where scoring rules, routing and the AI can use it. A rep who changes a lead's Lead Status, a product interest or a budget in Zoho changes what happens next in the conversation. And when a Deal's Stage moves to Closed Won (or the label you choose), the deal closes in Linkubit at its own value, so revenue, attribution and the conversion reported to Meta and Google all follow.

What never comes back

A Zoho edit never changes a contact's name, phone or email in Linkubit. Only your own fields are pulled; identity changes only through the people and rules that can be held to them.

Setting it up

  1. In Settings › CRMs, choose Zoho CRM and sign in to Zoho. Whoever signs in needs access to the modules you want synced.
  2. Choose the module for contacts — usually Leads, or Contacts if your team converts first. Linkubit reads its fields.
  3. Map each field and choose a direction: send to Zoho, bring back from Zoho, or both. Choose the field that matches a record to a contact, usually Email or Phone.
  4. Fill every field Zoho requires. Leads needs a Company, for example; the map editor warns you before saving and refuses a map that would fail every first sync.
  5. Decide approval: new records wait for a person (the default), everything waits, or nothing does.
  6. Optionally map Deals the same way, and switch on Updates (notes), Payments and Close.
  7. Press Send existing to put the contacts you already have into Zoho, or Import to bring Zoho's records in as contacts with a consent basis.

Approval keeps Zoho clean

Every spam message, wrong number and competitor asking your prices would otherwise become a Lead in Zoho the moment a workflow fired. With approval on, new records wait in a queue — in Settings › CRMs and on the contact's card — with a preview of exactly which fields would be written, and someone approves or skips them, in bulk if they like. Updates to records already in Zoho go straight through, and nothing a person clicks waits for approval.

The AI can read Zoho, if you let it

Switch it on per module and list the fields. The AI then reads the Zoho record linked to the customer it is talking to — never a search across your CRM — so it can tell a customer their order status or account tier from what your team keeps in Zoho. It treats what it reads as your team's notes, not as authority on prices: a price still comes only from your catalogue.

Worth knowing

  • Zoho limits API calls per day by edition. Linkubit sends only the fields that changed and delivers at a steady pace rather than in bursts.
  • Writes queue, then deliver. A change reaches Zoho within moments; a refusal shows on the operation with Zoho's reason and a retry button, and a revoked connection asks to be reconnected.
  • Zoho's notifications expire after a week. Linkubit renews them before they lapse; you do not need to do anything.
  • Editing a Zoho record does not create a contact here. Import from the module, with a consent basis, if you want those people in Linkubit.
Is the Zoho CRM WhatsApp integration two-way?

Yes. Each mapped field has its own direction — to Zoho, from Zoho, or both — and an edit in Zoho comes back to the contact's fields in Linkubit.

Can I see the WhatsApp conversation in Zoho CRM?

Each note on the record carries the conversation's summary and a link that opens the full chat in Linkubit.

Will it create duplicate leads in Zoho?

No. Each contact is linked to one Zoho record by the match field you chose — usually email or phone — and only fields whose values changed are sent.

Does it work with custom modules?

Yes. Any module your Zoho account has, other than the activity and attachment ones, can be mapped, including modules your admin created.

Do I need Zapier to connect WhatsApp to Zoho CRM?
