monday.com WhatsApp integration: leads, deals, notes and payments on your board, changes coming back, and closing deals from monday
Connect monday.com so WhatsApp, email and Instagram leads and deals land on your boards with a note at each milestone, your team's edits come back, new items wait for approval, and a Won status closes the deal and reports it to your ads.
Linkubit connects to monday.com so the leads and deals your WhatsApp, email and Instagram conversations produce land on your monday boards, and changes your team makes on the board come back. You choose a board for contacts and one for deals, map columns to fields with a direction for each, and decide whether new items wait for a person's approval. Optional switches add a note with the conversation summary at each milestone, payment status columns, and closing the deal when your board's status says Won.

What lands on your board
- Leads and contacts — name, phone, email, source, lifecycle stage, qualification, score, and any of your own fields — when a lead is created, qualified or assigned.
- Deals — name, value, currency, pipeline stage, expected close date, lost reason — when a deal moves, is won or is lost.
- Notes on the item when a lead is qualified, handed to a person, asked to pay and paid, carrying the conversation's summary and a link back to the chat.
- Payment columns — status, amount, link, paid-at — when a payment is requested, captured or fails.
What comes back
When someone on your team changes a mapped column on monday, the change comes back to the contact's own fields in Linkubit, where scoring rules, routing and the AI can read it. You can also close the deal from monday: pick a status column and the label that means Won (or Lost), and moving the item there closes the deal in Linkubit at its value — so revenue, attribution and the conversion sent back to Meta and Google all follow.
What never comes back
A monday edit never changes a contact's name, phone or email in Linkubit. Identity is changed only by the people and rules that can be held to it — not by a board anybody can edit. Only your own custom fields are pulled.
Setting it up
- In Settings › CRMs, connect monday.com and approve access on monday's screen.
- Choose the board for contacts. Linkubit reads its columns.
- Map each column to a field and choose a direction: send to monday, bring back from monday, or both. Choose the field that matches an item to a contact — usually the phone or email.
- Decide approval: whether new items wait for a person before they are added (the default), everything waits, or nothing does.
- Optionally, a deals board, mapped the same way.
- Switch on Updates, Payments and Close if you want notes, payment columns and closing from the board.
- Press Send existing to put the contacts you already have on the board — up to 2,000 at a time.
Starter workflows are created with the map — sync when a lead is created, qualified or assigned, and on the deal events for a deals board — and you can see and edit them in Workflows like any other.
Approval: nothing lands on the board unseen
A board is shared with a team, and an enquiry that turns out to be spam, a wrong number or a competitor should not appear on it because a workflow fired. With approval on, new items wait in a queue — in Settings › CRMs and on the contact's card — with a preview of exactly which columns would be written, and someone approves or skips them, in bulk if they like. Updates to items already on the board go straight through. A click by a person (Sync now, Send to the board) never waits for approval; only automation does.
Can the AI read monday?
Only if you switch it on, per board, and only the columns you list. The AI then reads the monday item linked to the customer it is talking to — never a search across the board — so it can say "your order is with the courier" when that is what the status column says. It treats what it reads as your team's notes, not as authority on prices: a price still comes only from your catalogue.
Limits worth knowing
- monday's API quota is the real limit — 1,000 calls a day on monday's Standard plan. Linkubit sends only the columns that changed and delivers at a steady pace rather than in bursts.
- Writes queue, then deliver. A change reaches monday within moments, not inside the same click; a refusal shows on the operation with the reason and a retry button.
- People, formula and mirror columns cannot be written by an API, and the map refuses them up front.
- A monday item with no contact in Linkubit does not create one by being edited. Import from the board, with a consent basis, if you want those people here.
Is the monday.com integration two-way?
Yes. Each mapped column has its own direction — to monday, from monday, or both — and a change on the board comes back to the contact's fields.
Can I see the WhatsApp conversation from monday?
Each note carries the conversation's summary and a link that opens the chat in Linkubit.
Will it create duplicate items?
No. Each contact is linked to one item by the match field you chose, and only fields whose value changed are sent.
Does Linkubit work with Zoho CRM, HubSpot or Salesforce?
Zoho CRM, yes — the same way, with modules in place of boards; see the Zoho CRM guide. HubSpot and Salesforce are not connected; signed webhooks on Scale can send every event to them, and spreadsheets move records in and out.
