WhatsApp automation for coaching institutes: what to automate in admission season, what a counsellor keeps, and how fees are quoted
The first reply, the fee card by class and mode, demo bookings that ask for a YES, documents in one message, instalments five days out — automated. Which course is right and any concession — a counsellor's. Batch announcements only to families who asked.
A coaching institute automates WhatsApp by answering every enquiry in the first minute with the counsellor's name and two questions, sending the fee card only once the course and mode are known, booking demo classes that ask for a YES, listing admission documents in one message with a date, and reminding every instalment with a payment link. Scholarship and course-choice conversations are handed to a counsellor; batch announcements go only to families who asked.

Admission season on one number
In the six weeks before a batch starts, an institute's WhatsApp gets more enquiries than its counsellors can answer, and most arrive in the evening. The ones answered the next morning have already visited another centre. The ones answered with a fee card before anyone asked which class are answered wrong. And the families who did join then need the timetable, the documents, the instalment reminders — from the same number, from the same three people.
What to automate
| Task | Automated? | Why |
|---|---|---|
| First reply with two questions | Yes | It cannot wait; it is the same every time |
| Which fee card and batches apply | Yes | Decided by class, exam and mode — three fields |
| Fee structure message | Yes, from the fee card | The number must be the card's, never typed |
| Demo class booking and reminders | Yes | A demo nobody confirmed is a wasted teacher |
| Which course is right | No — a counsellor | A judgement a family expects a person to make |
| Scholarship or discount | No — a counsellor | An assistant that negotiates fees gives them away |
| Admission documents list | Yes | One list, one date, in the thread |
| Instalment reminders | Yes | Five days out, with a payment link |
| Timetable changes | Yes, when the timetable changes | Sent by the system, not by someone remembering |
| New batch announcements | Yes, to families who asked about that course | Marketing: consent, STOP, once |
The three questions that decide everything
- Class or year, and the exam. JEE, NEET, CAT, boards, a language, a skill. It picks the fee card.
- Online or classroom, and which centre. It picks the batches and the price.
- Who is deciding. A parent writing in Hindi and a student writing in English are the same lead; the reply goes to each in their language.
Fees, from the card
The fee message carries the fee, the duration, the instalment terms and the batch timings in the text, with the card attached — and the number comes from the card, not from a counsellor's memory or a model's guess. A course with no fee on the card is not quoted. A family that asks for a concession is handed to a counsellor with every field filled, because that is the conversation a person should have. The catalogue guide explains why this is a rule and not a habit.
Payments and paperwork
The first instalment is requested in the chat at the card's amount — UPI or card inside WhatsApp where the number has a payment configuration, a Razorpay link otherwise — and the admission is recorded from the payment. The documents list goes out once, with a date and what the date means ("the seat is held until then"); the marksheet photos land in the thread beside the enquiry. Every later instalment is reminded five days out. The payments guide covers the setup.
The templates
Nine WhatsApp templates for education — enquiry received, fees and batches, demo confirmed, admission documents, fee due, class rescheduled, a new batch, a check-in — each with variables, a filled example and what Meta's review objects to. The education solutions page shows the whole sequence running.
Can an AI answer parents' questions about a course?
The factual ones — fees, batches, duration, what the course covers — from the fee card and your documents. Which course is right for a child is a counsellor's conversation, and the assistant hands it over with the answers already captured.
How do I send batch announcements without spamming?
Only to families who enquired about that course and opted in, once per batch, with a true seat count and a STOP line. A blast to every number the institute has ever collected is how a WhatsApp number gets its quality rating dropped.
Does it work for online courses?
Yes. Mode is a field; an online course has a join link instead of a room. The fee card, the demo, the documents and the instalments are the same sequence.
