When to send it, and what gets it rejected
Ask for everything in one message. Three separate "and also…" messages are three charges from October and three chances for the customer to stop replying. An assistant that qualifies — lane, mode, commodity, volume, Incoterm, timing — before it lets a quote through never needs this template at all.
